General questions about SnapHour

Which browsers does SnapHour support?

SnapHour supports the most recent versions of Firefox, Safari, Opera and Internet Explorer.


Can I use SnapHour even if we don't have a website?

Yes, you can use SnapHour even if you don't have a website (yet). When you register for SnapHour, we will create a special "mini website" for your business at http://yourname.snaphour.com. Through this mini website, your customers can schedule an appointment.


Can you name me some advantages with regards to online appointment scheduling?

Online appointment scheduling has several advantages, both to you and to your customers. Let's name a few:

  1. For starters, your customers can schedule an appointment without requiring any action (accept for confirming the appointment) from you side, saving you time and money.
  2. Next, your customers will appreciate the fact that they can schedule an appointment at any given time.
  3. And finally, people are spending more and more time online each day. The possibility to schedule an appointment online, might be an extra motivation to choose your business over your competitors.


My SnapHour account and payments

How do I pay for my account?

Payments are typically done by credit card. If you have any special payment requests, please contact us and we will work something out.


Can I cancel my SnapHour account when I want to?

Yes, you can cancel your SnapHour account at any given time. You WILL NOT be charged for cancelling your account.


Do you charge an activation fee and are there any other hidden fees?

Nope, we don't. The only costs for having a SnapHour account are those mentioned on our pricing page.


Can I upgrade or downgrade my SnapHour account? Do you charge extra for this?

Yes, you can upgrade or downgrade at any given time through the "account & settings" section. We don't charge our customers for upgrading or downgrading their accounts.


Can I pay for a whole year instead of once each month?

Usually no problem. Please contact us for more information.

Appointments through my website

When a customer has made an appointment, can I still cancel or change this appointment?

When a customer schedules an appointment through your website, you will be notified by email. It is then up to you to either confirm, cancel or change the appointment. After you confirm the appointment, the customer will receive a final confirmation by email.


Can a visitor on my website see appointments made by other customers?

No, visitors on your website can only see available times and dates for services offered by your business. Visitors can NEVER any details related to appointments (with exception to their own appointments).


Certain times on my public calendar show as unavailable, however according to my personal calendar, there are no appointments scheduled for these times. What is going on?

For each service offered by your business, you have specified a duration. These durations are taken into account when availability is displayed on your public calendar. If a specific service lasts two hours for example, there needs to be availability for two consecutive hours for the service to be bookable.


When an appointment has yet to be confirmed by me, is the availability on the public calendar already updated?

Yes, as soon as an appointment has been scheduled by a customer, the corresponding times are no longer marked as available on your public calendar. These times become available again after you cancel the appointment (or change the time for this appointment).


How far into the future can appointments be made?

Customers can schedule appointments up until two months from the current date.


When a customer schedules an appointment with one of my employees, will I, as the business owner, also be notified?

Yes. Whenever a customer schedules an appointment, all account managers within your SnapHour account are notified, both by email and by SMS. Next to the account managers, the employee in question will receive an email and a text message as well.


SnapHour calendars and time management

How many calendars am I allowed to maintain?

This depends on your SnapHour account. For each operator (staff member) one calendar can be created (with each calendar you can maintain each service offered by your organization).


Until when is appointment data being stored? And is it always accessible from my SnapHour account?

ALL appointments are stored indefinitely (this might change in the future). Through the SnapHour calendar, you can easily access all data up until six months back. If you require data older then six month, you either try accessing it through the customer database (you will need to know the customer's name for this) or you can contact us and we'll dig it up for you!


Do my employees get access to all data inside our SnapHour account?

No. Employees' (except for account managers) access depends on what services they're allowed to perform (an account manager can set allowed services for each regular employee). Regular employees only have access to data connected to "their" appointments.

How many services is each operator (employee) allowed to perform?

This depends on your SnapHour account. Each operator (employee) is allowed to perform each services offered by your organization. Of your business were to offer 5 services, each employee could perform each of those services.


Can I (being an account manager) move appointments from one employee to another?

Yes, you can. In the calendar's daily view, you can easily drag an appointment from one operator to another (left click with your mouse and move the cursor, while keeping the button pressed, to the other operator and release the mouse button).


Services, customers and operators

What exactly do you mean by operator?

An operator is "something" performing a service. In most cases, this will be a business' employees, however an bowling alley could also be an operator.


Can one service be performed by several operators?

Each operators can perform each service offered by your organization.


Do my employees get access to all data inside our SnapHour account?

No. Employees' (except for account managers) access depends on what services they're allowed to perform (an account manager can set allowed services for each regular employee). Regular employees only have access to data connected to "their" appointments.


When I adjust the duration of a service, how does this affect already made appointments?

Changed durations never affect already made appointments. Changed durations will only affect appointments made after the duration has been changed.


What exactly is an account manager and can our SnapHour account have more then one account manager?

An acccount manager is an user who has access to all data within your SnapHour account (usually account managers are either business owners or business managers). Each SnapHour account can have more then one account manager.
